Medical letters for gym cancellations: what gyms actually accept.
Most gym contracts allow cancellation on medical grounds — but only if the right documentation is provided in the right format. Getting this wrong means your request is rejected and your direct debit keeps running. This guide explains exactly what gyms require, which conditions qualify, and how to get a letter that will be accepted.
Can You Cancel a Gym Membership for Medical Reasons?
Yes — most gym contracts in the UK include a medical cancellation clause. Under the Consumer Rights Act 2015 and general contract law, a gym cannot reasonably enforce a fixed-term contract when a medical condition prevents you from using the facilities. This applies regardless of whether you are within a minimum contract period.
However, gyms are entitled to request evidence before agreeing to cancel. The standard they require is a medical letter from a GMC-registered doctor confirming the condition, its impact on your ability to exercise, and — in most cases — the expected duration. Without this, the gym has no obligation to process the cancellation.
Key facts about medical gym cancellations:
What Do Major Gym Chains Actually Accept?
Requirements vary between chains but the core standard is consistent across PureGym, Anytime Fitness, David Lloyd, The Gym Group, Virgin Active, and most independent gyms. The following outlines what each type of provider typically expects.
Budget chains (PureGym, The Gym Group, Anytime Fitness)
Typically require a letter on headed paper from a GMC-registered doctor stating the condition, that it prevents gym use, and an expected recovery timeframe. Most accept digital copies submitted via email to their member services team.
Premium chains (David Lloyd, Virgin Active, Nuffield Health)
Often have a more formal process and may require the letter to reference the specific contract number or membership ID. Some ask for evidence of ongoing treatment. Allow more processing time — typically 5–10 working days.
Independent gyms and leisure centres
Standards vary widely. Some will accept a standard letter; others may require a specific cancellation form. Always check the cancellation clause in your membership agreement before requesting the certificate, so the letter can be worded accordingly.
What Medical Conditions Qualify for Gym Cancellation?
Any genuine medical condition that prevents you from safely using a gym may qualify. The condition does not need to be severe or permanent — it must simply make continued gym attendance medically inadvisable for a significant period. The following are the most commonly accepted categories.
Injury or surgery
Fractures, ligament damage, post-operative recovery, or any musculoskeletal injury that prevents physical exercise. Among the most straightforward categories to evidence.
Serious or chronic illness
Cancer diagnosis, heart conditions, chronic fatigue syndrome, autoimmune conditions, or other serious illnesses that make exercise contraindicated or medically unsafe.
Pregnancy complications
Where a doctor has advised against exercise due to pregnancy-related complications. Routine pregnancy without clinical contraindication may be harder to use as grounds depending on the gym’s policy.
Mental health conditions
Severe depression, anxiety disorders, or other mental health conditions where a doctor confirms that gym attendance is not appropriate. A mental health support letter may also be relevant in these cases.
Relocation or financial hardship (not medical)
These do not qualify as medical grounds. A medical certificate cannot be obtained for non-medical reasons. The gym cancellation process for non-medical situations is separate from the medical route.
What Must a Gym Cancellation Medical Letter Include?
A gym cancellation medical certificate that lacks the right information will be rejected, regardless of how genuine the underlying condition is. The following elements are required by virtually all gyms.
Patient details
Full name and date of birth. Some gyms may also ask that your membership number is referenced — check your contract before requesting the letter.
Medical condition and clinical basis
A clear statement of the diagnosis or condition, and a clinical explanation of why it prevents gym use. Vague language such as “the patient is unwell” is not sufficient — the letter must explain the functional impact on exercise.
Expected duration or permanent nature
Gyms want to know whether the condition is temporary or permanent. A timeframe — for example “unable to exercise for a minimum of three months” — or a statement that the condition is long-term or indefinite is typically required.
Doctor’s details and signature
The letter must be signed by a GMC-registered doctor and include their full name, GMC registration number, and practice or service details on professional headed paper. A certificate without GMC registration details will typically be rejected.
Will the Gym Freeze or Cancel Your Membership?
This depends on the gym’s policy and the nature of your condition. Some gyms will offer a membership freeze for temporary conditions and will only cancel outright for permanent or long-term illness. Others will cancel in both circumstances. Check your contract carefully — the outcome you can request depends on the wording of your specific agreement.
Pauses your membership and payments for a set period. Typically offered for recoverable conditions — injury, surgery, short-term illness. Your membership resumes automatically at the end of the freeze unless cancelled separately.
Terminates the contract entirely, including within a minimum term. Typically offered for permanent conditions, serious long-term illness, or where a freeze is not contractually available. Payments cease from the agreed cancellation date.
Clinical Review & Eligibility
Gym cancellation medical certificates issued through MedicalCert are reviewed individually by GMC-registered UK doctors. Every application is assessed on its own clinical merits — certificates are not automatically generated.
Limitations & When In-Person Care Is Required
A gym cancellation medical letter supports your request but does not guarantee the gym will approve it. The gym makes the final decision based on their own contract terms. The following are outside the scope of this service:
Final acceptance is determined by the gym or leisure operator. MedicalCert cannot guarantee cancellation approval. This service operates within UK jurisdiction and in accordance with UK clinical standards.
